Steady Thread ("we," "us," or "our") helps personal trainers and coaches stay connected with their clients between sessions through scheduled, personalized SMS check-ins drafted by Acey, our AI assistant. This Privacy Policy describes how we collect, use, and protect information when you use the Steady Thread platform, whether you are a trainer, a coach, or a client.
1. Information We Collect
From trainers and coaches
- Name, email address, and phone number provided during account registration
- Coaching profile information: your communication style, voice examples, and notes about how you work with clients
- Client roster details you enter: client names, phone numbers, goals, history, and progress notes
- Message drafts and any edits you make while curating scheduled messages in the weekly editor
- Billing information processed by our payment provider (we do not store full card numbers)
From clients (people receiving SMS check-ins)
- Phone number (collected and confirmed via SMS consent at enrollment)
- SMS message content: replies you send in response to check-in messages
- Workout data, progress updates, or feedback you share over text
- Opt-out or opt-in signals (STOP, HELP, START)
Automatically collected
- Message delivery status and timestamps (provided by our SMS carrier, Twilio)
- Application logs for debugging and service reliability
2. How We Use Your Information
- To deliver scheduled SMS check-in messages on behalf of your trainer or coach
- To draft personalized messages using Acey, our AI assistant, based on your client profile and history
- To record client feedback and progress so your trainer or coach stays informed
- To process subscription billing and manage your account
- To send service-related notifications (not marketing) to trainers and coaches
- To improve our platform and troubleshoot issues
3. Acey: Our AI Assistant
Acey is the AI assistant inside Steady Thread. Acey drafts personalized check-in messages for each client based on the coaching profile, client goals, and message history your trainer or coach provides. Trainers and coaches curate these messages in a weekly editor, where they can edit, replace, or remove any draft before it is scheduled. Scheduled messages are then sent automatically at their planned times.
Acey is powered by Anthropic's Claude AI. Message drafting is done using the information stored in your coaching profile. Client conversation data may be sent to Anthropic's API solely to generate draft messages; Anthropic's own data use policies govern how they handle API inputs. We do not use client SMS content to train our own models.
4. SMS Program
Steady Thread operates an SMS messaging program on behalf of trainers and coaches. The following terms apply to all clients enrolled in SMS check-ins:
- Consent: Clients are enrolled in the SMS program only after providing explicit consent, typically by replying YES to an enrollment message or by consenting during a trainer or coach-led onboarding. Consent is not a condition of purchase or services.
- Message frequency: Message frequency varies based on the schedule set by your trainer or coach. You may receive multiple messages per week.
- Message and data rates: Message and data rates may apply. Check with your wireless carrier for details.
- Opt out: Reply STOP at any time to stop receiving messages. You will receive a confirmation and no further messages will be sent to your number unless you re-enroll.

- Carriers: Carriers are not liable for delayed or undelivered messages.
5. How We Share Your Information
We do not sell your personal information. We share information only as described below:
- Your trainer or coach: Client information is shared with the trainer or coach who enrolled you. They can see your profile, your message history, and any replies you have sent.
- Twilio: We use Twilio to send and receive SMS messages. Twilio processes phone numbers and message content to deliver messages. Twilio's privacy policy governs their handling of this data.
- Anthropic: We use Anthropic's Claude AI to power Acey, our message drafting assistant. Coaching profile and client context data is sent to Anthropic's API for draft generation. Anthropic's privacy policy governs their handling of API data.
- Payment processing: Billing information for trainer and coach subscriptions is processed by our payment provider. We do not store full payment card details.
- Legal requirements: We may disclose information if required by law, court order, or to protect the rights, safety, or property of Steady Thread, our users, or others.
6. Data Retention
We retain account information for as long as your account is active or as needed to provide services. Coach and client message history is retained to support coaching continuity. When an account is closed, we will delete or anonymize personal data within a reasonable period, except where retention is required by law.
7. Your Choices and Rights
- Opt out of SMS: Reply STOP to any Steady Thread message at any time.
- Access and correction: Trainers and coaches can update their account and client information through the Steady Thread dashboard. Clients may contact their trainer or coach directly to request changes.
- Deletion: To request deletion of your personal information, contact us at privacy@steady-thread.com. We will process deletion requests within a reasonable timeframe, subject to any legal retention obligations.
- California and other state privacy rights: Depending on where you live, you may have additional rights under applicable privacy law. Contact us to exercise those rights.
8. Security
We take reasonable technical and organizational measures to protect personal information against unauthorized access, loss, or disclosure. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify trainers and coaches by email or in-app notice when we make material changes. Continued use of the service after changes take effect constitutes acceptance of the updated policy.
